AI assistant for real estate agencies: from the first message to a booked viewing

· 2 min read

Real estate inquiries come at all hours and most start the same way: “do you have a two-bedroom near the sea?”. Answering each one well takes time — and a slow answer hands the client to another agency. An AI assistant takes the first part of the conversation so your agents can take the rest.

The first conversation is qualification

Before showing anything, a good agent finds out four or five things: buy or rent, budget, area, number of bedrooms, when the client wants to move. An AI assistant asks the same questions, naturally and one or two at a time, and stops asking once it has enough to suggest something.

Listings, not promises

The assistant suggests only listings that exist in your catalog — with their real price, size and key details — and only those that fit what the client said. If nothing fits, it says so and asks what could change: a bit more budget, a neighbouring area, one bedroom fewer.

Qualification, matching listings and a viewing in one conversation.

Viewings in your calendar

When the client picks a listing, the assistant offers real free times and books the viewing — with the client’s contact, because a viewing without one is useless. Your agent sees the booking, the listing and the whole conversation, so they arrive knowing what the client wants.

When to bring in a person

  • The client wants to negotiate the price or discuss conditions of a deal.
  • Questions about legal checks, mortgages or taxes, where a wrong answer is expensive.
  • A serious buyer who wants to talk to an agent right now.

In each case the assistant hands the conversation to your team in the same chat. Colleagues get the request in Telegram with a summary and answer from their phones. More about this in when an AI should hand over to a person.

What to prepare

  1. Your listings with price, area, size, bedrooms and the features buyers ask about. Keep them current — the assistant shows what you have.
  2. Viewing hours in a calendar.
  3. Answers to common questions: fees, documents, how a purchase works for foreigners. Import them from your website and approve.
  4. Rules: what to ask before suggesting listings, when to hand over.

Sales Core AI has a real estate template: listing attributes, fit by budget and size, and a booked viewing as the goal. It speaks the client’s language, which matters when buyers come from abroad.
