How to automate sales in WhatsApp without losing the personal touch

· 3 min read

For many businesses WhatsApp is where the real sales conversations happen: quick questions, photos, “is it available tomorrow?”. It is also where replies get slow in the evening and lost at the weekend. Automation helps — if the conversation still feels like one.

Why WhatsApp sales are hard to scale

WhatsApp conversations are short and fast. Customers expect an answer in minutes, not hours, and they rarely fill in forms. When one person handles the number, the work piles up exactly when customers are most active: evenings, weekends, the day after an ad goes live.

Classic automation — a greeting and a menu of numbered options — does little here. People don’t want to type “3” to see prices; they want to ask their question in their own words.

What to automate

  • The first reply, every time. Answer within seconds at any hour, in the customer’s language.
  • Product questions. Price, availability, sizes, what fits the customer’s needs — straight from your catalog, never from memory.
  • Qualifying. The two or three questions that decide what to offer: budget, dates, size, location.
  • Bookings and orders. Offer real free slots and book one; take the order and send a payment link.
  • Status questions. “Where is my order?” and “when is my appointment?” answered from your system.

What to leave to people

Automation should hand over, not hold on. Leave to your team: complaints and emotional situations, large or unusual orders, negotiations beyond your discount policy, and anyone who simply asks for a person. The key is that the handover happens inside the same chat, with the context, so the customer doesn’t repeat themselves. More in when an AI should hand over to a person.

The 24-hour window, in plain words

The WhatsApp Business Platform has one rule that shapes everything: a business can send free-form messages only within 24 hours of the customer’s last message. After that, only pre-approved message templates can be sent.

For an AI agent this is rarely a problem — it answers while the customer is in the conversation. It matters for your team: if a colleague answers a day later, the message has to go as a template. In Sales Core AI you choose an approved Utility template for each number; late replies from your team are sent with it automatically, and if there is no template, the message is saved and the colleague sees why it wasn’t delivered.

The customer’s number is already a contact

On a website, getting a phone number is part of the sale. In WhatsApp you already have it, confirmed by WhatsApp itself. A well-built agent uses that: it doesn’t ask “what’s your phone number?” before booking — it just books. If the customer wants to be reached on another number, it saves that one instead.

Hi, can I bring my car in for a tyre change on Friday morning?
Hi! On Friday morning I have 9:00 and 10:30. A tyre change for a passenger car takes about 40 minutes and costs €40. Which time works?

How to set it up

  1. Get access to the WhatsApp Cloud API. In a Meta business app, add your number and create a permanent System User token.
  2. Give the agent your catalog and knowledge. Products with prices, services with durations, your delivery and return rules. Let it read your website to start.
  3. Write the rules. What to ask before recommending, the maximum discount, when to call a person.
  4. Connect the number and test. Paste the phone number ID, token and app secret in Channels → WhatsApp, choose the agent and message it from your phone.
  5. Watch the first week. Read the conversations, answer the questions the agent couldn’t, and correct replies in plain words.

How it works in Sales Core AI is described on the WhatsApp page.
